The company needed a structured system to centralize and professionalize its operational processes. Specifically, it required the ability to:

• Track materials going in and out of the warehouse and maintain accurate stock visibility
• Monitor builder assignments, availability, and time spent on-site per clinic project
• Track project costs and link projects directly to financial data
• Manage invoices and ensure full cost transparency per clinic renovation

At the time, Airtable Interfaces did not yet exist, so enabling external users to input and update data securely within a structured framework was a key technical and organizational challenge.

• Designed a project-based Airtable system linking operations and finances
• Built structured forms for external users to create and update records tied to projects
• Implemented material tracking across warehouse movements
• Structured builder availability and time tracking logic
• Set up automations and automatic email notifications to responsible stakeholders
• Created a cost-tracking structure per clinic renovation project
